How can I configure the assessment categories for my curriculum?

Toddle provides you with an intuitive interface to configure the academic setup for your curriculum, such as setting up grading periods, grading methods, grade boundaries and more.

Assessment categories play an important role in the grading process as these can be used to evaluate student’s progress in various aspects of learning. These include ongoing checks such as Formative assessments, end-of-term tests like Summative assessments, specific subject components etc. Read this article to learn all about configuring assessment categories on Toddle.

Configuring Assessment categories

In the admin portal, scroll to the ‘Programme level configurations’ section and click on ‘Academic setup’ for your curriculum

From the navigation menu on the left, select ‘Grading setup’.

Once you enter the ‘Grading setup’, simply click on ‘Assessments’ to access the Assessment categories settings.

Under Assessment categories, you can see the grading periods configured for your school and the already defined category sets for these periods, if any. To learn more about configuring grading periods, click here.

Assessment categories are created for each grading period and for specific subjects and grade levels. There are two ways to add assessment categories:

  1. Import from other grading periods

  2. Create category sets manually

Importing assessment categories

To import assessment categories from a grading period, use the ‘Import category sets from another grading period’ option under the 3-dots menu.

The pop-up window that opens next enables you to choose the grading period from which you wish to import the assessment category sets. You can choose to bulk import category sets for all subjects, or manually select the subjects and grades.

You will see the same option located at the top right as you enter inside a grading period. The same window will open from here as well.

Please note that you will not be able to import category sets if:

1. A category set already exists in the subject and grade for which you wish to import. In this case, the checkbox against that grade will be disabled and you may need to delete the existing category sets before importing new ones.

2. A category set already exists in the subject for all its associated grades where you wish to import. In this case, the checkbox against that subject will be disabled you may need to delete the existing category sets before importing new ones.

3. There are no category sets defined for the subject and grade in the grading period from where you wish to import.

Once you have selected the preferred term, subjects and grades, click on the ‘Import’ button to complete the import process. Consequently, category sets for selected subjects and grades will start reflecting in your grading period.

Creating category sets manually

In case, you want to manually add a category set for a subject, enter the desired grading period, and select the subject from the navigation menu on the left. Now, click on the ‘Add a category set’ button and follow the steps outlined below:

Step 1. Name the category set and select grades to which this category set will be applicable.

Step 2. Once the category set is created, you can define the different categories within it and assign a weightage. You can include as many categories in a category set as you’d like.

Step 3. The option of assigning weightage to each category depends on your chosen

category score calculation method. For instance, in the image below, the option of assigning weightage to categories is enabled as the category score calculation method selected was weighted categories. By default, each of the category weights, when converted into percentages add up to 100%. Refer this article to learn about configuring score calculation method.

Step 4. Once you have set the assessment categories and their corresponding weightage, you also have the option of defining grade boundaries for each category. To do so, select the ‘Use grade boundary for each category’ option. Once selected, an additional column called ‘Category grade boundary’ will be created. Click on ‘Add’ to add a boundary for a specific assessment category.

On the pop-up window, you will find two options:

  • Use pre-defined grade boundary: This option allows you to apply the default grade boundary that has already been set for the grading period, subject, or grade level from the ‘Overall grade setup’ page. This is useful if you want to maintain consistency across different categories without manually setting boundaries each time. Click on ‘Save’ to finalise your preferences.   • Define a custom grade boundary: This option lets you create a unique grade boundary for the specific category you are working on. You can manually define how scores within this category will be converted into grades by adjusting the score ranges and the corresponding grades. Click on ‘Save’ to finalise your preferences.

By choosing one of these options, you can control how student scores in this category are translated into grades based on either the standard grading boundary or a custom one you set up specifically for that category.

Duplicating category sets

In case you wish to use the same assessment categories across subjects and grades, you have the following two duplicate options:

  1. Duplicate category set to other grades of the same subject

  2. Duplicate category set to other subjects

You can access these options using the three dot-menu as shown below

1. Duplicate to other grades of a given subject

Click on the ‘Duplicate to other grades of this subject’ option if you wish to copy the category to other grades of the current subject. Next, from the pop-up window, select other grades of the current subject where you want to replicate the assessment category. Once done, click on the ‘Duplicate’ button. Please note that this duplication will happen within the grading period you are in.

💡 You cannot perform this operation for a grade, where a category set already exists. In such cases, the checkbox against that grade will be disabled and you may need to delete the existing category set before copying the new one.

2. Duplicate to other subjects

Click on the ‘Duplicate to other subjects’ option, to duplicate an assessment category set to other subjects and grades. Next, from the pop-up window, you can select subjects and grades where you want to replicate the selected assessment category. Please note that this duplication will happen within the grading period you are in.

Once done, click on the ‘Duplicate’ button to copy the assessment category to the selected subjects and grades.

💡 You cannot perform this operation for a subject and grade, where a category set already exists. In such cases, you may need to delete the existing category set before copying the new one.
