As a school administrator, you can download student portfolio posts directly from the admin portal. You have the option to bulk download posts for all students in a specific year group for a selected academic year, or download posts for individual students across multiple academic years. Whether your school is preparing for an academic transition or maintaining offline records, this process ensures quick, centralized access to student portfolios. Let’s explore this further in a few simple steps.
Configuring user settings for portfolio download
First, let us look at some settings you can enable related to portfolio posts download. From the admin portal, navigate to the ‘Module settings’ card under the programme level configurations.
Next, choose ‘Portfolio’ followed by ‘User settings’ from the left pane. On this page, you will find a setting that controls whether users can download portfolio posts where more than one student is tagged.
By default, this setting is turned off - meaning teachers, students, and family members can only download posts where only the selected student is tagged.
If you would like to allow downloads of multi-student posts across your school community, toggle this setting on. It will apply to all user groups: teaching staff, families, and students.
You will get a pop-up informing you that enabling this setting allows users to download posts that may contain multiple individuals. By proceeding, you confirm that your school has obtained the necessary consent for all individuals featured in the download and accepts full responsibility for any associated disclosures.
Check the acknowledgment box and click ‘Submit’ to continue.
Download student portfolio posts in bulk
Follow these simple steps to download the posts of students in bulk.
Step 1: From the admin portal, navigate to the ‘School setup’ card under the school wide configurations.
Step 2: Next, click on the ‘Students’ section from the left pane. Once you arrive on this page, you will find different sub-sections on the left pane, including ‘All students’ as well as curriculum-specific student sections based on your school setup.
To bulk download student portfolios from any of these sections, click on the three-dot menu at the top and select the ‘Download portfolio’ option.
Step 3: In the pop-up window, select the curriculum and the year group for which you want to download student portfolio posts.
💡 If you're accessing the download option from within a specific curriculum section, only the year groups for that curriculum will be visible, and the curriculum tabs at the top will not appear.
Step 4: Next, you will see the current and past academic years (if applicable) for the selected year group. Select the relevant academic year to download the students’ portfolios. Note that you can download portfolios for only one academic year at a time per year group.
Additionally, you will be asked to choose how you want to download the student portfolios - either including only the posts where the student is tagged individually, or all posts where the student is tagged (including group posts). Note that you will see the option to download group posts only if the corresponding setting is enabled in the admin portal.
Once done, click on ‘Request download’. A download link will be sent to your registered Toddle email ID once it is ready. Note that the download time may vary based on the volume of portfolio data.
Step 5: You will receive an email containing a download link to a spreadsheet file, as shown below.
Step 6: Once you open the downloaded spreadsheet, you will see a list of students from the selected year group along with a dedicated portfolio download link for each student. Click on the preferred student’s link to download a zip file of their portfolio.
In the zip file, each student’s portfolio media files are organized first by class and then further sorted into month-wise folders within each class. Additionally, an ‘index.html’ file is included, which opens in your web browser to display a consolidated view of the student’s portfolio.
This view organizes posts by class, with filters to sort by date or search specific posts, as shown below. You can scroll through the posts or click on individual media files to view them in detail.
Download individual student portfolios
To download portfolio posts of an individual student, click on the three-dot menu next to their name.
Next, select one or more academic years for which you would like to download a student’s portfolio. Additionally, choose how you would like to download the portfolio - either including only the posts where the student is tagged individually, or all posts where the student is tagged (including group posts). Note that you will see the option to download group posts only if the corresponding setting is enabled in the admin portal.
Once done, click ‘Request download’.
An email will be sent to your registered email address containing the student’s portfolio for the selected academic years. Simply click the 'Download' button in the email you have received to save the portfolio zip file to your device.
