How can I gain insights into my school's usage of Toddle modules as an administrator?

As a school administrator, you can efficiently access and monitor the usage of Toddle modules by staff, students, and families within your school. Gain valuable curriculum-wide and school-wide insights, with the flexibility to select specific time periods for targeted data analysis.

In this article, you will learn how to:

Navigating to usage insights

As an administrator, you can access usage insights from:

  • School/curriculum homepage → ‘Insights’ card → Usage insights

Usage insights provide various metrics to help you track how actively your staff, students, and families use the different modules of Toddle.

By default, the data displayed is for the present academic year of the current school/curriculum. However, you can change the duration and view data for any other school/curriculum or multiple schools/curricula.

View usage insights overview

At the top, you will see high-level usage metrics for the selected school(s)/curricula and duration. These include:

  • Unit plans created

  • Total assignments assigned

  • Portfolio posts published

  • Progress reports created

If you select a time duration of the last seven days, thirty days, or six months, the usage data will also include a comparison with the previous corresponding period, as highlighted below.

Below the high-level metrics, you’ll see the Detailed usage insights table. What appears here depends on the ‘View by’ filter you select:

  • Student / Staff / Family - shows one row per user, along with their activity (e.g., assignments assigned, messages sent, portfolio posts published).

  • Grade / Class - groups usage by grade levels or classes, showing totals such as unit plans created, assignments assigned, or portfolio posts published.

Columns update automatically based on the selected school(s) and time duration.

You can perform the following actions on the data displayed:

  • Search bar: Search for a specific user/grade/class.

  • 'Export' icon: Download the table data as a spreadsheet.

  • 'Configure columns' icon: Choose which columns to display in the table.

  • These features function similarly in the Planning, Assignments, Portfolio, and Messaging insights.

View usage insights for Planning

In the ‘Planning’ section, you can monitor how extensively teachers are using the unit planning module to create and manage unit plans.

The dashboard provides:

  • The total number of unit plans created

  • A breakdown of unit types (where applicable)

  • In the Detailed usage insights table, you can view these counts per grade, class, or staff member.

If you choose to view Planning usage insights across all curricula/schools, only the total unit plans will be shown, since unit types differ by curriculum/school.

View usage insights for Assignments

The ‘Assignments’ section helps you monitor how actively teachers and students are engaging with assignments on Toddle - from creation to submission.

The top-level overview displays key metrics, including:

  • Total number of assignments assigned

  • Percentage of pending submissions

  • Percentage of overdue submissions

  • Percentage of unsubmitted assignments

  • Percentage of late submissions

  • Percentage of submissions turned in on time

Below the overview, you will find a detailed table with a breakdown of the same assignment data, organized by grade, class, student, or staff member.

View usage insights for Portfolio

The ‘Portfolio’ section helps you track how teachers and students are using portfolios to document and engage with learning.

The top overview shows key metrics, including:

  • Total number of posts published

  • Number of posts published by teachers vs students

  • Total likes

  • Total comments

A detailed table below provides a breakdown of portfolio activity, organised by grade, class, staff, or students:

  • For each, you can see the number of posts created, published, scheduled, in draft, liked, and commented on.

View usage insights for Messaging

In the ‘Messaging’ section, you can track how teachers, students, and family members are engaging with the messaging feature on Toddle.

The overview displays key metrics, including:

  • Total number of messages sent

  • A breakdown of messages sent by staff members, students, and family members

Below the overview, you can see where these conversations are taking place, organised into:

  • Chats, which include:

    • Teacher–student conversations

    • Teacher–family conversations

    • Teacher–teacher conversations

  • Channels, which include:

    • Class channels

    • Family channels

    • Custom channels

As you scroll down, you will see a graph showing the volume of messages exchanged over time, based on user type or conversation type.

  • This helps you understand engagement trends across different user groups.

At the bottom, a table displays messaging activity by individual users, organized by students, staff members, or family members.

  • For each, you can view the number of messages sent and any flagged messages.

Download usage insights

You can download the usage insights for any of the modules by clicking the ‘Export’ icon.

A spreadsheet will be downloaded to your device, containing data from the fields you selected in the table view.
